RESPONSIBILITIES

The position is located at the Municipal Executive Office within a central board administration. Your and your colleagues' primary task is to serve as secretaries for political meetings. This means you are responsible for all administrative tasks related to our political meetings, creating meeting notices, and writing minutes. You provide support to politicians and case officers in matters concerning municipal decision-making. You also support case officers and managers in producing political decision-making materials.

Together with your colleagues, you share the work and are responsible for your own meeting processes. You will primarily be responsible for the Municipal Executive Board and the Municipal Council, but you will also work with other boards.

The assignment also includes document management, such as registration and archiving. Management is mostly digital and takes place in the Ciceron diary system. The central board administration supports the departments in document management issues and participates in the work to further develop the municipality's document management processes.

The work requires you to quickly grasp varying issues, quickly overview the content of texts, and work towards fixed deadlines. The intensity of the work varies with the political meeting cycle; evening work may occur. You will also be responsible for ensuring that the Municipal Executive Office fulfills its common mission by covering for colleagues in areas adjacent to your role.

QUALIFICATIONS

We are looking for someone with an academic education in a relevant field, preferably social sciences, political science, public administration, law, or similar, or alternatively experience/education that the employer deems equivalent. You have very good knowledge of Swedish in speech and writing. You have very good computer skills with experience working with database-based administration and the most common Office programs. You also have experience from administrative work applying regulations governing authorities' handling of public documents. It is an asset if you have previous experience from a politically governed organization or a related activity.

The person we seek can handle many parallel tasks as well as changing working conditions. You enjoy working at a high pace and can prioritize work efficiently. You are independent but have a good ability to collaborate and communicate. Great importance will be attached to personal suitability.
